Vital generates a unique, secure, time-limited upload link for each person and sends it as a branded email from your agency's address. Workers receive a plain, professional email. No jargon, just a button and a list of what you need. The link expires in 30 days. You can revoke it at any time.

When a worker uploads a document, our AI reads it immediately. It extracts the credential type, issuing body, license number, expiry date, and the worker's name, then cross-checks all of it against what was requested. Documents that pass with high confidence are auto-approved and land on the ledger in seconds. You never see them unless something is wrong.

Any document the AI isn't confident about goes into your review queue: blurry scans, unfamiliar issuing bodies, potential name mismatches, or anything that looks tampered. You see the document, the AI's concern, and a one-click approve or reject. Rejected documents trigger an automatic re-request email to the worker with your reason attached.

Every approved credential lands on the compliance ledger with a live status: Valid, Expiring Soon, Expired, or Missing. The entire roster is visible at a glance. Filter by status to see who needs attention. Click any worker to drill into their full credential history. The ledger updates the instant a new document is verified. No manual refreshes, no stale data.

Vital watches every expiry date and sends branded reminder emails at 90, 60, and 30 days out, automatically, on your behalf. Workers click the same secure upload link and resubmit. The ledger flips back to green the moment the new document is verified. You are notified of every renewal. You never need to track a date manually again.

When a Joint Commission surveyor or a client asks for proof of compliance, you export a date-stamped PDF report for any worker or your entire roster. The report includes every credential, its expiry date, when it was uploaded, who reviewed it, and whether it was approved by AI or a human reviewer. CMS and Joint Commission formatting included.

Workers receive a clean, professional email from your agency, not from Vital. It lists exactly which documents are needed and contains a single button. No account to create. No app to download. No password to remember. The link works on any phone, tablet, or desktop.

The upload page lists each credential required for their role. Workers drag in PDFs or take a photo directly from their phone camera. Most workers complete the process in under two minutes. Progress is saved as they go. If they close the page, already-uploaded documents are not lost.

Once uploaded, AI verifies each document and the worker sees the result immediately. A green tick means the document is accepted. If something is rejected (wrong document, illegible scan, or mismatched name), they are told specifically why, and a fresh upload prompt appears. No waiting for a human to review before they get feedback. Renewal reminders work the same way: one email, one click, done.
